What are custom field and how to create them?

What are custom fields?

RoyaltyZone has a set of required and optional fields that are on a licensee submission form. When a field is marked “required,” the licensee will have to provide a response.

Additionally, in this section you can create custom fields to capture information not provided with RoyaltyZone’s required fields. User can also make those fields appear on the actual SKU in the agreement section by using the carry over. When used those field can be exported on reports for data analysis.

To start within the submissions module, a user will first go to the setting wheels and select custom fields

1- +Custom Field: Creates a new custom field.

2- Name: Displays the name of a custom field.

3- Description: Displays the description of a custom field.

4- Type: Displays whether the custom field is text, dropdown, multiselect, or attachment.

5- Required: Displays whether or not the custom field is required.

6- In Use? Displays whether or not a custom field is currently being used on any submission. The system   will update.

7- Carryover to product? Displays whether or not the response will carry over with the product in the agreement. This is especially helpful when you want this information on reports and extract of your SKU in your agreements

8 - Actions

  • Edit: Do you want to edit your created custom field?
  • Clone: You can clone a custom field and give it a different name.
  • Archive: You no longer want to use that custom field.
  • Unarchive: Make the custom field active again.
  • Delete: Removes the custom field. (This option is only available if the field is never used.)


How to create custom fields?

After selecting “+Custom Field”:

  • Name:  Enter a name for your new custom field.
  • Description: Enter a description for your new custom field.
  • Type: Choose what type of field you would like your new custom field to be.
    • Text
    • Dropdown
    • Multiselect
    • Attachment
  • Display on export reports: If selected, the created custom field will show on the export report.
  • Carryover as a product custom field: If selected, the custom field on a submission will be accessible through the product module. You will have the ability to access and update the responses when viewing the product in the top-level or agreement level product lists.
  • Required: Select if the custom field is required at the product level.

 

Adding custom fields on a workflow

Within a workflow under stage 4 "Form Field Setup" a user will have the option to select the additional custom fields

A user will be able to select the custom fields to be use, make them required or not and specify when a Licensee can last edit them

Once the workflow is published the Licensee will see the additional questions.
