What is Forecasting and how do I use it?

Forecasting allows you a method of requiring licensees to submit their total expected sales and royalties for a given period of time and provides a tool within RoyaltyZone to capture this information and compare it later to actual sales and royalties reported.

How Do I Set Up Forecasting On My Account?

  1. Select Setup > Forecast

2.      Enable Forecasting by checking the box. NOTE: complete setup instructions are also on this page. READ THEM

3.     Set your forecast preferences

  1. Enter the number of months out you would like your licensees to forecast. RoyaltyZone will adjust each contract to its applicable reporting period
  2. Select whether you want to use RoyaltyZone default periods for licensee frequency or set up your own frequency periods

Example: If you want the licensee to provide forecasting for the upcoming year, enter “12” for number of months. Licensees who report monthly will be required to report 12 months of forecasting. Licensees who report quarterly will be required to 4 quarters of forecasting

4.    If you use RoyaltyZone’s default periods for licensee frequency:

  1. Select How often you would like licensees to update their forecast
  2. Enter the number of days prior to the beginning of the selected period in 4.a you want licensees to receive the email reminder.

5.     If you want to set up your own email notification dates, select each date from the dropdown and then select “create” after each date selection. You can select as many date periods as you want

Example: If you enter March 15 and October 1, your licensees will receive email reminders on these dates

6.     Enter your Forecast instructions. This tells the licensee what you expect for Forecasting

 

What is entered on this page will show on your licensee’s forecast tab:

7.    Enter your email setups

  1. Do you want agreements marked internal and/or in sell-off to update their forecast? If so, check these boxes
  2. If a licensee replies to an email, who should receive the reply?
  3. Select the licensee user(s) and/or agent user(s) who should receive the email reminders
  4. Select which of your users should be copied on the emails
  5. Enter the email subject
  6. Enter the email text

8.    You can attach a template for the licensee to provide additional detail

Make sure to save your changes when your setups are complete

How do I turn on forecasting for each Licensee?

To turn on forecasting for a licensee, open the agreement and then select the Access Tab. Next, select “Enable Forecasting”

How Do I Know When Licensees Submit Their Forecasts?

When a licensee is required to submit their forecast, they will receive an email notification. There will be a red message inside their agreement stating they need to submit forecasting. Once they submit, the message will turn green.

On the Forecasting page, you will see the forecast statistics

How Do I analyze My Forecasts?

When a licensee submits their forecast, they have a page that looks like this:

They will add their forecast in the available boxes to the left. When actuals are reported,  they will show in the middle, and the variance shows to the right.  You can also run the Forecast Overview report on the Forecast tab to download all data over all licensees.

Can My Agents Provide Licensee Forecasting?

Yes. If you select “Allow agent to manage forecasts” on your Agent Rights tab, they will be able to manage the forecasting for their licensees, and they will be able to see combined amounts for only their respective licensees.

Can I enter forecasting for my licensee? Yes, you have the same ability as the licensee to enter forecasting

Can I change my licensee’s submitted forecast? Yes, you can change your licensees’ forecasts

Can my licensees change their forecast after they submit it? Yes, a licensee can change their forecasting at any time.

Will I see who made changes to a forecast? Yes, you will see the last person who updated it.

Can I require different forecast requirements for different licensees? No. The setups you create will be applicable to all licensees who are required to provide forecasts

What if I only want some but not all licensees in sell-off to provide forecasts? You can check the “sell-off” box in your Forecast setup, and then turn Forecasting on or off for each licensee on the Agreement Access tab.
